User Guide on HKU Connect Email Service for Students

HKU Connect is a new email service offered for students. The HKU Connect email service is an outsourced email service powered by Google for HKU students and brings the benefits of unlimited disk quota, indexed email search, industry standard spam control, calendaring, and ActiveSync for mobile devices.

HKU Connect email account holders will receive a permanent email address HKUPortalUID@connect.hku.hk. Students can continue to use the simplified email address HKUPortalUID@hku.hk for receiving emails as the emails will be automatically forwarded to HKUPortalUID@connect.hku.hk. This email forwarding function will be available for use until graduation.


Ways to Access HKU Connect Email Service

1. Web access

User can login to HKU Portal, then click on MyEmail tab to access HKU Connect Email Service

(If you are unable to access your email from HKU Portal using Internet Explorer, please follow the guidelines available at https://ids.hku.hk/idp/shib_faq1.html to configure your browser)

 

Important Note: 

To activate access by email client (using IMAP/POP3) or from mobile phones (section 2-5 below), you have to change your initial password at http://www.its.hku.hk/faq/email/connect/change-pwd.

 

2. IMAP configuration

You are required to activate IMAP in HKU Connect (first time only) before you can access your mail using IMAP email client. To enable IMAP for your connect account, please refer to the FAQ at http://www.its.hku.hk/faq/email/connect/enable-imap

Server settings

   
Incoming mail server: imap.gmail.com
Outgoing mail server (SMTP): smtp.gmail.com
User name: <HKU Portal UID>@connect.hku.hk
Password: <HKU Portal PIN>

Note:

IMAP requires SSL on port 993
SMTP requires TLS on port 587
Outgoing server requires authentication (user name and password same as mail server)

3. POP3 configuration

You are required to activate POP in HKU Connect (first time only) before you can access your mail using POP email client. To enable POP3 for your connect account, please refer to the FAQ at http://www.its.hku.hk/faq/email/connect/enable-pop

Outgoing mail server (SMTP): smtp.gmail.com
User name: <HKU Portal UID>@connect.hku.hk
Password: <HKU Portal PIN>

Note: 

POP3 requires SSL on port 995
SMTP requires TLS on port 587
Outgoing server requires authentication (username and password same as incoming mail server)
