Information for New Students on Using Central IT Facilities

IMPORTANT: Students can change the pre-assigned HKU Portal UID (and the corresponding @connect.hku.hk email address) within 7 days after Master Registration*.  See Section 4 below for the steps.

*New students are required to input their personal information through the online master registration form (login https://hkuportal.hku.hk > “Self-Service” under “MyPage” > “Master Registration”). Students must complete Master Registration before they can change HKU Portal UID, collect student registration card and enroll in courses.

1. HKU Portal UID (UID) and HKU Portal PIN (PIN)

  • HKU Portal UID (UID) is your unique user identification (user name) for using the central IT services.   Your pre-assigned UID begins with “h” or “u” followed by the 3rd to 9th digit of your HKU student number.   You can change your pre-assigned UID once within 7 days after Master Registration.
  • Students can use the simplified email address UID@hku.hk for receiving emails as emails will be automatically forwarded from UID@hku.hk to UID@connect.hku.hk.  This email forwarding function will be available for use until student’s graduation.

  • HKU Portal PIN (PIN - Personal Identification Number) is the password for login HKU Portal and other services listed in Section 3.
  • Your pre-assigned UID and PIN are printed on the “Computer Account Details” sheet.  If you have already changed your PIN, you can ignore the pre-assigned PIN. 

2. Email Address

  • Your Email Address is assigned based on your UID and the pre-assigned email address is UID@connect.hku.hk.  If you change your UID, your email address will be changed correspondingly.  See Section 5 for an illustrative example.

3. Usage of HKU Portal UID/PIN

  • Login HKU Portal (https://hkuportal.hku.hk) to access Student Information System (SIS) services, online courses, email, library resources and other online services provided by various departments.
  • Login PCs in the Learning Commons to use the PC and printing services.
  • For WiFi and fixed network connection One-time configuration/network card registration is required for WiFi and cable connection by following the procedures at http://www.its.hku.hk/services/network/connect.

Format

4 to 8 lower case letters (‘a’-‘z’) or digits (‘0’-‘9’),  starts with a lower case letter

10-18 characters (letters or digits with at least one letter and one digit)

Effective time

Submission between 8:00 am to 00:45 am: 1 hour

Submission between 00:46 am to 7:59 am: after 9:00 am on the same day

10 minutes

** Notes:

  1. Students can change their UID once only during their entire study at the University.  Students who changed their UID before will NOT be allowed to change it again.   
  2. The UID chosen should resemble the name of the applicants.  ITS reserves the right to disapprove any chosen UID which is deemed inappropriate.
  3. After the UID is changed, all computer account names will be changed to the same chosen UID.
  4. Request for changing the UID after the deadline will only be considered by a written request to ITS stating the reason for late application.  Each late request, if accepted, will be charged at HK$200 to recover part of the administrative overhead.
  5. Students can register their mobile phone number and alternate email address with ITS at the time when they change the initial PIN.  After that, they can reset their PIN online whenever it is forgotten.

6. Create an Email Alias for Receiving Email (Optional)

Purpose:

An alternative name for you to receive email, e.g. set the alias “john-chan” means “john-chan@connect.hku.hk” and “john-chan@hku.hk” are also your valid email addresses for receiving email besides yourUID@connect.hku.hk and yourUID@hku.hk.  Your email account name is still “yourUID”.  After graduation, students can keep the email alias “alias@connect.hku.hk” for use but “alias@hku.hk” will become invalid.  

How to apply:

Login HKU Portal > Type “alias” in the Search field > Click the link “Change Email Alias” 

Required format:

9 to 32 characters of letters, digits, dot (.), hyphen (-) and underscore (_), starting with a letter and ending with a letter or a digit

Effective time:

1 hour after online submission

7. Install Anti-Virus Software to Protect Your PC

Students can download ONE copy of Sophos anti-virus (SAV) software from HKU Portal (type “Sophos” in the Search field and click the link “Download Sophos Anti-Virus”) and install it on a PC for work related to University studies during their stay at the University. The installation guide is available at the download site.  Its usage is governed by the Sophos end-user license agreement at https://www.sophos.com/en-us/legal/sophos-end-user-license-agreement.aspx.

8. Microsoft Office 365 ProPlus

Students will receive an email sent to their @connect.hku.hk account providing them the user name and initial password for using Microsoft Office 365 ProPlus. In case the email is missed, they can check the said account information via HKU Portal (type “MS Office" in the Search field and click the link "MS Office – Reset Password").
