Procedure to Access Staff Email (HKUCC1) via MS Outlook / MS 365 Outlook (IMAP/POP) – new profile

For user currently using IMAP/POP3/Exchange to access email accounts in Outlook and Create New profile to access Central Email/Calendar Service(HKUCC1)

  1. Open “Control Panel” -> “User Accounts and Family Safety” -> “Mail (32-bit)”

  2. Click “Show Profiles…”

  3. Click “Add…” button

  4. At the field “Profile Name:“, enter “hkucc1.hku.hk“.

  5. In the “Auto Account Setup” dialog box, select “E-Mail Account“, enter the following information and then click “Next“: 

    Your Name:Your Name
    Email Address:YourUID@hku.hk
    Password:Your HKU Portal PIN
    Retype password:Your HKU Portal PIN

  6. In the “Windows Security” dialog box, enter the following information as then click “OK”. 

    User Name:YourUID@hku.hk
    Password:Your HKU Portal PIN

  7. Outlook will then automatically search the correct settings for you. After the configuration completes successfully, uncheck “Set up outlook Mobile on my phone” and click “Finish” button to complete the setup.

    Note: Office 2016 did not contain this checkbox

  8. A new profile is created. Select “Prompt for a profile to be used” and click “OK”.

  9. Open Outlook and select the new profile to login.

  10. In the “Windows Security” dialog box, enter the following information and then click “OK”.

    User Name:YourUID@hku.hk
    Password:Your HKU Portal PIN

  11. The Outlook will then connect to the Exchange Server and synchronize your emails.
