Update on Staff UID Change Policy

To enhance data consistency, system security, and record traceability, the ITS is updating its UID (User ID) management policy. Since August 2025, UID changes for students have no longer been accepted, and this policy is now being extended to all staff and departmental accounts 

Frequent UID changes have created challenges in maintaining accurate records, managing access rights, and ensuring reliable audit trails. To maintain a stable and secure system environment, it is necessary to align staff procedures with the existing student policy. 

Therefore, effective March 1, 2026, staff and departmental accounts will no longer be permitted to request changes to their UID. However, users may continue to update their email aliases in order to personalize their addresses, facilitating memorable and effective communication. 

How to Set Up Email Alias for Staff?

  1. Login to HKU Portal 
  2. Type “Alias” in the Search field 
  3. Click the link “Change Email Alias”
