Notice on Bulk Email Delivery and Upcoming Changes to General Notice Emails

Updates to Bulk Email Delivery and mass mail sending from @info.hku.hk domain

Mail providers, like Google and Microsoft, often enforce a Rate Limit to deter mass mailing activities.  This limit affects the delivery of bulk emails to HKU staff and students and may cause bulk messages sent from individual accounts to be blocked.

To address this limitation and ensure reliable and prompt mail messages delivery without affecting the primary mail domain @hku.hk, Information Technology Services (ITS) will introduce a new arrangement for sending bulk emails and the high volume of email messages to staff & students by adopting the new @info.hku.hk sender domain.

New Arrangement for bulk mail (effective 1 June 2026)

  • Bulk emails will be sent from the address bulkemail@info.hku.hk to avoid delivery blocking.
  • Emails will be sent “on behalf of” the submitting department name.
  • Recipients may reply directly to the original sender.

Bulk emails will therefore appear in recipients’ mailboxes with the format:

Bulk email appearance at Outlook Desktop App

outlook desktop app - on behalf

    outlook desktop app - email

Bulk email appearance Outlook Web App

outlook web app - on behalf

    outlook web app - email

Adoption of @info.hku.hk domain for other related staff & students’ emails

    • Following the same principle, mass mail or high volume system generated email messages for staff and students are advised to adopt the new sender email domain of @info.hku.hk to ensure prompt mail messages delivery.
