Shared Mailbox

A shared mailbox is a mailbox that multiple users can use to read and send email messages.  It also provides a common calendar, allowing multiple users to schedule and view vacation time or work shifts. 

A shared mailbox is intended to replace the use of departmental email account.  It supports sharing access up to 25 users.  Sent message copy will be placed in Sent Item on the shared maibox. It is more secure, and easy to use with less administrative effort on the user side.  ITS supports converting any existing departmental email account with email to shared mailbox, which benefits existing users. 

A shared mailbox doesn’t have its own username and password.  To access a shared mailbox, users must first be granted Full Access, Send on behalf or Send As permission to the mailbox. Once you are a member of a shared mailbox, the shared mailbox should automatically display in our Outlook desktop client after your sign-in.  For Outlook app in mobile device, you can just add the shared mailbox by inputting the corresponding shared mailbox email address.

  • Creating new shared mailbox 
  • Converting existing mailbox to shared mailbox 
  • Changing permissions on a shared mailbox 

For transfer ownership or termination, please submit CF146 and choose “Shared mailbox” for hosting on.
