Introduction

The ITS is one of the key elements of the University’s enabling platform that will provide the professional and operational support required to fulfil the University’s ambitious agenda.  We strive to provide you with an outstanding digital experience so that you can excel in your career.  To this end, we are thrilled to announce our latest innovation, with that mission in mind – the HKU Access Code (“Code”) for staff! 

With just a few taps on the HKU App, you can access a growing list of University facilities on campus anytime using your mobile device in lieu of your physical HKU Staff Card.  The HKU Access Code will be available via the HKU App (version 3.1.4 or above) starting December 3, 2024.  During the first phase of introduction, the Code will provide access to selected HKU facilities (see below for details), by the generation of individualised QR code which will be refreshed once every 30 seconds.  You may gain access to your HKU Access Code in the app by tapping the “My Profile” icon after logging in, which can then be used for access control purpose. 

While the physical HKU Staff Card continues to serve as the official means of your University identity proof, and the Code being neither a replacement of the physical Staff Card nor an official proof of staff identity, it offers an innovative and convenient option for eligible staff members to access HKU facilities via mobile devices. 

We hope that the introduction of the HKU Access Code will enhance your experience as a valued HKU talent.  Please download the HKU App or upgrade to the latest version to enjoy the convenience of the Code.

Eligibility

This function is specifically designed for use by eligible staff members of HKU who have their Report to Duty confirmed by their Faculty Dean/Head of Department in the HCMS.  Staff can simply download the HKU App and log in with their HKU Portal credentials, then tap the “head” icon (second last icon on the toolbar) to access the Code. 

Note: staff of a limited number of non-HKU entities may not be able to enjoy the function at this stage and a message would be displayed instead, in that case please continue to use the physical HKU Staff Cards (if applicable).

Premises that the HKU Access Code are supported

The HKU Access Code is accepted at the following premises:

  • Main Library – Access gates, overnight open area (G/F Library Corner)
  • Dental Library – Access gates
  • Lui Che Woo Law Library – Access gates
  • Yu Chun Keung Medical Library – Access gates
  • Music Library – Access gates
  • Chi Wah Learning Commons – Access gates located at G/F (spiral staircase), 1/F and 2/F (The Jockey Club Tower entrances)
  • Co-Curriculum Support Office – Composite Building UG 1/F and UG 2/F (selected facilities)
  • Graduate House – Podium P3 – P6 (selected facilities)
  • Catering outlets
    • Main Campus (Chong Yuet Ming Amenities Centre) – CYM Canteen
    • Main Campus (Fong Shu Chuen Amenities Centre) – FSCAC Restaurant
    • Main Campus (Haking Wong Building Podium) – Union Restaurant
    • Centennial Campus (Podium) – Gourmet Asia
    • Centennial Campus (Podium) – Oliver’s Super Sandwiches

Important points to note

The HKU Access Code is not an official HKU Staff Card.  It is neither a replacement of the physical Staff Card nor an official proof of staff identity.

It is important to note that the HKU Access Code is for your personal use only; it is not transferable, and must not be shared with others.  Violation of this user clause would lead to the revocation of access right and you may be subjected to disciplinary actions.

FAQ

The Code is not an official HKU Staff Card.  It is neither a replacement of the physical Staff Card nor an official proof of staff identity.

Please hold your device slightly farther away (about 10cm) from the scanner for it to be read properly, and turn off the “eye care”, “blue light filter” or “night shift” mode of the device.

The Code is for your personal use only; it is not transferable, and must not be shared with others.  Violation of this clause will lead to the revocation of access right and you may be subjected to disciplinary actions.

No, HKU Portal login is required.  If you have forgotten your password, please click the “Forget your PIN?” link on the login page.

No, you can log in from one device at a time only.  You may log out of your device using the “Linked Device” function located in the Settings Page of the HKU App.

Please log in HKU Portal and you may then log out the device remotely by utilizing the “HKU App Linked Device” function in the HKU Portal.  Following this, please proceed to log back onto the HKU App on your replacement device.

For your security protection, each Code is valid for 30 seconds only; the Code will refresh automatically when expired.

No, the automatic refresh will pause if you leave the page or the display is switched off after a timeout period.

The Code is initially displayed at an optimal size for most devices; if needed, please tap the “zoom” button (magnifying glass icon) to enlarge the Code.

For your convenience the display brightness will be increased automatically when the Code is displayed.

Please close the relevant app and/or turn off NFC and try again. Please hold your device slightly farther away (about 10cm) from the scanner for it to avoid the pop up from being triggered.

You may not be using the most current Staff Card, or it has been reported lost previously.  Please contact the HRO (email: scphoto@hku.hk) for further details.

The Code will not be available if you are not a current appointee. 

The Code is not a replacement for the staff card. If you have lost your staff card, please report the loss via the online reporting function by searching “Report Loss of Staff Card” on HKU Portal and apply for a new staff card immediately.

Kindly attempt to log out of your device using the “Linked Device” function located in the Settings Page of the HKU App, or by utilizing the “HKU App Linked Device” function in the HKU Portal. Following this, please proceed to log back onto the HKU App.
