Installation and Setup Procedures for Microsoft Office on iPhone/iPad

1. Installation and Setup Procedures

Note: Please remove older versions of Office from your mobile devices before your start the installation.  

  1. Go to “App Store”.


  2. Type “Microsoft Office” under the search box.


  3. Tap “Get” Microsoft Office to download the app.


  4. After installation, open “Microsoft Office” app.


  5. Swipe through the introduction pages until you see the login page.  Tap “Sign In”

  6. Enter your (Staff) or as username and click Next.

  7. Enter your “HKU Portal PIN” in the password field and click “Sign in”.

  8. You will go to Home to preview the files saved in your OneDrive.


  9. By clicking the “+” symbol at the bottom right corner, you could open the relevant MS Office Applications without installing their apps.


  10. If you want to install the other MS Office App separately, please click “Nine-dotted” icon at the bottom left corner and you could download the apps one by one.



2. Add University account to office mobile with a personal Microsoft account​

If you have installed MS Office but set it up with a personal account such as, you can add your HKU account to access documents you saved in OneDrive for Business, SharePoint team sites, or document libraries.

  1. Open Microsoft Office App on your iPhone or iPad. 
  2. In the app, tap “Account”, and then tap “Add Account”.


    If you are using OneNote, tap “Settings” OneNote Settings icon> “Accounts”.

  3. Tap “OneDrive for Business”.


  4. Enter your email address in the format of “” and click “Next”.


  5. Enter your “HKU Portal PIN” in the password field and click “Sign in”.


  6. The service is now added to your account.

3. Opening documents in the app


  1. Tap the service where you want to view your files. For example, to view Word, Excel, or PowerPoint documents, tap “Open > OneDrive – Personal” or tap “Open > OneDrive – your business name” and you’ll see the list of files you saved to OneDrive or OneDrive for Business. The files you see are specific to the app you opened them in. For example, if you opened the Word app, you’ll only see Word documents or if you opened the Excel app, you’ll see Excel spreadsheets.

  2. To view any OneNote notebooks you saved to OneDrive or OneDrive for Business, tap + “Open Existing”.
