Change UID/Email Alias

Overview

Change of Portal UID

Staff:

Staff can choose an HKU Portal UID of their own when they submit the application for HKU Portal account. The UID chosen by a user should resemble his name. Information Technology Services reserves the right to disapprove any UID.

Note:

  1. After change of UID, staff may check or update their preferred email address recorded under the Personal & Family Data Form (under HKU Portal > Self Service > Human Resources > Personal & Family Data Form).  

    For “Personal & Family Data Form”, 2FA is required when 

    i) access is made outside HKU campus network (see https://www.its.hku.hk/documentation/guide/infosec/2fa/hkuportal for the access procedures); and

    2FA is automatically registered after the application for HKU Portal account is submitted.  For those who need not submit an application for HKU Portal account as described in the notes under section i) above, please register for 2FA at https://www.its.hku.hk/2fa/staff-register.  

  2. For approver of HCM (Human Capital Management) applications (e.g. leave approval, departmental claim approval etc.), they are requested to complete all pending applications before the new UID becomes effective. They may not be able to process/approve these pending applications after the UID is changed and they can only be done after the requests are resubmitted.They may not be able to process/approve these pending applications after the UID is changed and they can only be done after the requests are resubmitted.

  3. If staff are administering authorities such as Dean or Principle Investigator (PI), their delegation assigned may be revoked by the system after change of UID.

    In case delegates report that they are unable to perform a delegated task, staff are advised to check the delegation assigned (under HKU Portal > Manager Self Service > IT Services > HCM Assign Delegation (HoD/PI)) and reassign the delegation if the setting has been revoked.

Students:

Students can only change the pre-assigned HKU Portal UID (and the corresponding @connect.hku.hk email address) within 7 days after Master Registration. To change, please go to HKU Portal > Type “UID” in the Search field > Click the link “Change HKU Portal UID”

* Request for changing the UID after the deadline (for students) or application submission (for staff) will only be considered by a written request to ITS stating the reason for late application.  Each late request, if accepted, will be charged at HK$200 to recover part of the administrative overhead.

Email Alias

Email alias is an alternative name for receiving email e.g. chan-tai-man@hku.hk or chan-tai-man@connect.hku.hk (for students using HKU Connect email service). While HKU Portal UID (email account name) is made of 4 to 8 characters, email alias can have 9 to 32 characters with any combination of alphabets, numbers and special characters "-",  ".",  "_". 

The email account name alias (email alias) chosen by a user should resemble his name. Information Technology Services reserves the right to disapprove any email alias.

Students using HKU Connect email service can keep the email alias “alias@connect.hku.hk” for use but “alias@hku.hk” will become invalid after graduation.
