Procedure to access HKU Email via Outlook 2013 IMAP Account

This section describes the configuration procedure to access HKU Email via Outlook 2013 IMAP account. 

  1. Create an account in the Outlook 2013. Click Files => Add Account button.
  2. Select Manual setup or additional server types.

  3. Select POP or IMAP.

  4. Enter your name and email address when prompted.  From the Options listed below, choose “IMAP” to view and manage the mail but they are stored on the server.

    For incoming mail server:

For staff using Exchange Mail service, please refer to setup procedure at

For outgoing mail server:

If connect to HKU campus network, the outgoing mail server (SMTP) name is "".
If connect from outside campus network, the outgoing server name is "" (for HKU staff and students only). Refer to "How to use" for detail.
For graduates, use your ISP's SMTP server name as SMTP server.

NOTE: If you select POP3 mode, all your emails will be downloaded from the email server to your local folders in Outlook and you can no longer access your emails via HKU Portal/WebMail. It will be very difficult to move your emails back to the email server.

POP and IMAP Account Settings

The Require login using Secure Password Authentication (SPA) must be un-checked. Click Next.

When you are done and you should have a working Email Client that sends and receives emails for you.
