How to migrate email/calendar/contact from one Exchange server to Central Email/Calendar Service (HKUCC1) server?

  1. Export email/calendar/contact from an Exchange account
     
  2. Import email/calendar/contact to central email/calendar server (hkucc1.hku.hk)

A. Export email/calendar/contact from an Exchange account

Firstly, you need to export .pst file data in the old profile.

  1. On the File menu, click Import And Export ...
     
  2. Click Export To File, and then click Next.


     

  3. Click Personal Folder File (.pst) , and then click Next.


     

  4. You can export your entire mailbox (including all subfolders) and calendar by clicking Mailbox – <your_name>, select Include subfolders and then press Next. You can also select any parituclar folder to export by selecting the appropriate folder.


     

  5. Click the Browse button, and then select the location to save the .pst file.

     

  6. In the File Name box, type a descriptive file name for the .pst file, and then click OK. (default is backup.pst)
     
  7. Click Finish.

B. Import email/calendar/contact to central email/calendar server (hkucc1.hku.hk)

  1. To restore the email/calendar/contact items, open hkucc1 account in Outlook and click Import and Export.

  2. Choose Import from another program or file, then press Next.

  3. Select Personal Folder File (.pst), then press Next.

  4. Click Browse to select the backup file and select Do not import duplicates, then press Next

  5. Choose Personal Folder and then press Finish to import all items to your central email/calendar account. You can also select any parituclar folder to import by selecting the appropriate folder.

Note:

  • Rules and Alerts set for your old account will not be imported. You need to create new rules in central email/calendar profile.
  • Signature set for your old account will not be imported. You need to create a new signature in central email/calendar profile.
