Change of Sender Name/Email Address

Login HKU Portal -> type “register name” in the Search field > click “Register Name/EAddress in Mail” > fill in your preferred Sender Name and HKU Portal PIN > click Submit

This change will take effect in 10 minutes after successful submission.

Add/Edit Profile Photo

  1. Open Outlook client, click File. Under Info > Account Settings, click Change. You will be prompted to login with your HKU Portal UID and PIN.

  1. Click Choose File to upload your photo.

  1. If you are not using Outlook client, you can go to, select and login with your HKU Portal UID and PIN.

  1. Click the picture icon at the top right > Change > Upload photo > browse your photo to upload (within 20MB).

This change on Outlook Web Access (OWA) (i.e. will take effect immediately after the change is saved. It will take up to 24 hours to refresh on Outlook client.

It may take longer to propagate your updated photo on Microsoft Teams if the client is running in cache mode. Please try the following steps if you wish to force a refresh of the client earlier:

  1. Click your profile icon at the top right of your Microsoft Teams client and select Sign Out. Also close the Outlook client if you are using it. 
  2. On your keyboard, hold the Windows key and press R.
  3. Cut and paste %appdata%\Microsoft\Teams in the RUN box and click OK.
  4. Delete all the contents under the entire folder.
  5. Restart your PC. Open your Microsoft Teams client and sign in.
